How to Use Microsoft 365 or Google Workspace Email With Your Domain Print

  • 0

If your email is with Microsoft 365 or Google Workspace but your website is hosted with AISweb, you need to point your domain's email at that provider, and tell cPanel not to deliver email locally.

Step 1: Set Email Routing to Remote

  1. Log in to cPanel (see How to Log In to cPanel)
  2. In the Email section, click Email Routing
  3. Choose your domain
  4. Select Remote Mail Exchanger
  5. Click Change
This step matters. If it's left on Local, email sent from your website, such as contact form messages, will never reach your Microsoft or Google inbox.

Step 2: Update Your MX Records

  1. In cPanel, go to Zone Editor in the Domains section
  2. Click Manage next to your domain
  3. Use the filter at the top to show only MX records
  4. Delete the existing MX records that point to your domain
  5. Click + Add Record > Add MX Record and enter the record your email provider gives you:
    • Microsoft 365: priority 0, destination like yourdomain-com-au.mail.protection.outlook.com. Find the exact value in the Microsoft 365 admin centre under Settings > Domains
    • Google Workspace: priority 1, destination smtp.google.com
  6. Click Save Record

Step 3: Add the Other Records Your Provider Needs

Your provider will also ask for some TXT and CNAME records, such as:

  • A verification TXT record
  • SPF: for Microsoft 365 v=spf1 include:spf.protection.outlook.com -all, or for Google v=spf1 include:_spf.google.com ~all
  • Autodiscover (Microsoft 365) and DKIM records

Add each one in the Zone Editor the same way. See How to Manage DNS Records in cPanel.

Only have one SPF record. If you send from both your website and Microsoft or Google, combine them into one record, or ask us and we'll do it for you.

Step 4: Check It's Working

Changes usually take effect within an hour. Send a test email to your address from an outside account, such as Gmail, and check it arrives in Microsoft 365 or Google Workspace.
